AlphaClear for Rural Health Clinics

Ready for your next survey. Whenever it comes.

AlphaClear checks your clinic's policies, logs and evidence against the Medicare Conditions for Certification, your state's rules and your own program. Every finding cites its source, and every gap becomes tracked work.

The problem

Surveys come years apart. Readiness has to hold all along.

Rural health clinics are certified against the Medicare Conditions for Certification and resurveyed by the state agency or an accreditor, often years apart. Small teams keep policies, logs and program evaluations current in between, usually by hand.

01 FEDERAL

Conditions for Certification

42 CFR Part 491, Subpart A: staffing, services, physical environment, patient health records, program evaluation and emergency preparedness.

02 STATE

Your state's rules

Licensing, scope-of-practice and Medicaid requirements in the states that add them, clinic by clinic.

03 YOUR OWN

Your program

Your policies and procedures, and the compliance program of the hospital or practice that runs the clinic.

Surveys years apart

Long gaps between surveys let policies and logs drift out of date without anyone noticing.

Small teams

The people seeing patients are often the same people keeping the compliance binder.

Proof scattered

Hospital policies, clinic procedures and logs live in different places, one copy per clinic.

Deficiencies

Survey findings need a plan of correction, and certification depends on fixing them.

Emergency preparedness

Plans, training and testing must stay current and documented between surveys.

Many clinics, one owner

Most rural health clinics are run by hospitals that need one view of every clinic they operate.

AlphaClear changes that.

The platform

One platform. Three jobs.

AlphaClear checks every document, proves every finding and closes every gap, for one clinic or every clinic your hospital runs.

PILLAR 1

Check

Every policy against every condition.

Connect OneDrive, SharePoint, Google Drive, Dropbox and more, or upload policies, logs, minutes and evaluations. AI-driven checklists show what each condition needs. Each document is matched to the federal, state and internal rules it addresses and evaluated rule by rule.

PILLAR 2 PATENTED

Prove

The exact passage behind every finding.

Every finding cites the text it relied on and the documents that prove it, on one screen your surveyor can follow.

PILLAR 3

Close

Every gap becomes a case with an owner.

Each gap gets a summary, an owner and a history. New evidence is re-checked automatically, so readiness holds between surveys.

The real product

Every clinic, one screen

Open gaps, overdue cases and readiness by chapter, with every finding drilling back to the source document.

AlphaClear readiness dashboard with open gaps, overdue cases and readiness by chapter

Real screens from the running platform, shown on the federal health-center rulebook it runs today. Your rural health clinic rulebooks load into the same screens.

Who it is for

Built for the people who answer to the surveyor

From the clinic to the hospital that runs it, everyone responsible for certification works from the same evidence.

Clinic managers

A short list of what is missing at your clinic, with an owner for each item.

Hospital compliance officers

One view of every clinic the hospital runs, against federal, state and hospital rules.

Quality leads

Program evaluations and quality reviews with the evidence attached, ready for the next survey.

Medical directors

Findings that cite the exact policy text, so review and sign-off are quick and defensible.

Practice owners

Independent clinics get the same proof without a compliance department.

Consultants

Prepare clients for surveys from live evidence instead of a binder review.

What is built, and what we build with you

What does the platform do?
It generates rulebooks automatically from the source text, connects to your documents in OneDrive, SharePoint, Google Drive, Dropbox and more, guides evidence collection with AI-driven checklists, tags and evaluates every document rule by rule, cites the exact policy text behind each finding, turns gaps into cases with owners and history, and re-evaluates automatically when new evidence arrives. The platform runs today on the federal rulebook for community health centers, and the process is patented (US 12,633,153).
What do we build with you in a pilot?
  • The federal rural health clinic rulebook (42 CFR Part 491, Subpart A)
  • Your state's rules for the pilot clinics
  • A view across all the clinics your hospital or practice runs
  • Your own program, from your policy manual
  • A security review and BAA before any wider rollout
How does a pilot work?
Up to 15 clinics in one state over 90 days. Weeks 1-2: choose the clinics. Weeks 2-3: AlphaClear generates the federal and state rulebooks and your compliance lead signs off. Weeks 3-8: clinics connect their document drives or upload evidence, guided by AI-driven checklists, and see their first readiness view. Weeks 8-11: close gaps and run a mock survey on the platform. Week 12: results review and a go or no-go decision.
Where does the evidence come from?
From where your documents already live. Connect OneDrive, SharePoint, Google Drive, Dropbox and more, or upload files directly. AI-driven checklists show each team what evidence every rule needs, what is already proven and what is still missing.
Do you need patient records?
No. AlphaClear works on policies and evidence: procedures, logs, meeting minutes, program evaluations and training records. A security review and a BAA come before any wider rollout.
Who decides what counts as compliant?
Your people. AlphaClear generates each rulebook automatically from the regulation, the surveyor guidance or your policy manual, with every rule linked to its source text. Your compliance lead can review, edit and sign off any rule, and every evaluation records the rulebook version it used.
We are one independent clinic. Is this for us?
Yes. The same rulebooks and screens work for a single clinic. Most clinics are run by hospitals, so pilots usually start with a hospital and its clinics, but independent clinics are welcome.
